Security
Due to the nature of the CIVICUS World Assembly and the high profile of speakers and contributors security at both events will be closely monitored by venue security.
Exhibitors for the gathering and CIVICUS World Assembly will be provided with exhibitor badges which must be worn at all times. You will also be required to sign in at the main registration desk each day.
Stand bookings
All exhibitors must confirm their booking in writing using the booking form or online booking form on the gathering website. Exhibitors will be invoiced for the full cost of the stand 8-12 weeks before the event. Any additional items such as phone lines or additional furniture will be invoiced after the event.
Cancellations
Any exhibitor cancelling, reducing or withdrawing their application 8 weeks prior to the event will be liable for full payment of the full charge of the original booking. Any exhibitor cancelling, reducing or withdrawing their application before Friday 25th April 2008 will only be charged at 20% of the original booking.
Food, Drink and Tobacco
No person shall sell or otherwise distribute on the Premises or in any other part of the SECC, whether by automatic machine or otherwise, any tobacco, smokers' requisites, beverages, alcoholic drinks, food, ice cream, sweets and confectionery or any other consumable refreshments of any nature whatsoever (other than free samples of products of the Hirer or any Licensee) without the prior written consent of the SECC or SCVO.
Sale of goods
Exhibitors can sell goods other than the above at their stands. These can include items such as publications, company Christmas cards and promotional materials. It is then the responsibility for each organisation to handle and be responsible for any monies, cheques or credit card transactions. If you are unsure about any goods you may like to sell please contact the Event Team.
Toy Balloons
The sale, distribution or use of gas-filled balloons at the SECC must be approved by the SECC and will normally be conditional on the balloons being weighted down. Hirers will be responsible for costs incurred by the SECC in the repair of on-site air handling units and other equipment, which have been damaged by released gas-filled balloons being drawn into the said units & equipment. Costs incurred by the SECC in recovering balloons from within the roof structure of the Premises will be charged onto the exhibitor or event host.
Set up and dismantle of stands
Gathering and CIVICUS World Assembly Set up times
Exhibitors have access to the exhibition hall to set up their stand between 12.00 and 21.00 on Wednesday 18th June 2008. All exhibition stands must be set up by 8.00am on Thursday 19th June 2008, before the doors open to the public at 9.00am
Gathering and CIVICUS World Assembly Dismantle times
Exhibition stands can not be dismantled until the doors close to the public on Friday 20th June at 18.00. Please note that exhibitors must vacate the exhibition hall before 19.00 on Friday 20th June 2008.
Any exhibitor dismantling stands before the stated time may incur charges set by the SECC for security assisting the dismantling process.
Opening and closing times
Thursday 19th June 9.00 - 17.30
Friday 20th June 9.00 - 18.00
